Clinical workflows

Everyday clinical work, considered.

Built around how aesthetic teams actually move through a day: intake, treatment, documentation, and follow-up.

  1. 01

    Digital intake & signatures

Health history and consents completed in patient mode on a practice-owned iPad. No patient account required.

  2. 02

    Visit notes & addenda

Dated, author-stamped notes. Addenda are added alongside the original, never over it.

  3. 03

    Photos & documents

Private clinical media from camera or upload, PDFs and files, with side-by-side comparison.

  4. 04

    Searchable protocols

Your practice's protocols, searchable in the moment, with emergency protocols kept separately.

  5. 05

    Roles & permissions

Defined permissions for administrators, providers, and patient coordinators, with schedules that work across your locations.

Security

Built for HIPAA-compliant clinical workflows.

  • Encrypted

    In transit and at rest

  • Role-based

    Permissions by staff role

  • Required MFA

    For every staff account

  • Audit records

    Activity logged for review

  • Private media

Clinical photos and files kept private

Where clinical information lives

Clinical information is stored in a dedicated HIPAA-enabled Supabase environment covered by a business associate agreement (BAA), separate from this marketing website. This marketing website and inquiry form are for business questions. Please do not submit patient or medical information.

HIPAA compliance also depends on each practice's agreements, configuration, policies, and use.

A considered connection.
A patent-pending approach.

EHRspace's approach centers on the controlled transfer of permitted appointment data into a separate clinical record environment, so booking and clinical documentation each stay where they belong.

U.S. utility patent application filed October 15, 2026. Patent pending.

Questions

Good to know.

Does EHRspace work with Square Appointments?

Yes. EHRspace is designed for practices that book with Square Appointments. Appointments flow one way from Square into EHRspace, where your team handles clinical documentation.

Does EHRspace replace our scheduling?

No. Square stays the source for booking and your calendar. EHRspace focuses on the clinical record: notes, health history, consents, photos, and treatment planning. Clinical records are not written back into Square.

What is the consultation builder?

A guided flow from patient concerns to a plan: treatment options from your editable catalog, a transparent estimate, a sequenced timeline, and pre- and post-care content. The provider reviews the email plan before it is sent.

How is clinical information protected?

Clinical information lives in a dedicated HIPAA-enabled environment under a BAA, with encryption, role-based permissions, required staff MFA, audit records, and private clinical media. Compliance also depends on each practice's agreements, configuration, policies, and use.
